Why Did the Client Seek Our Services?
Navigating Compliance Challenges in a New Market Introduction
Our client, a leading supplier of advanced rack servers, sought our expertise to introduce a new server model to the Vietnamese market. The server model was new to the Vietnamese market at the time of import. The datasheet lacked sufficient information about cryptography functions, making it difficult to determine whether the goods required CCP permit and license or not. Besides, the machine picture we received at the beginning has the light bulb/LED with it, which needs to be processed with TA testing in Vietnam.
After double checking with the client and receiving the confirmation from their side of actual goods need to be shipped out. The shipment no need to process with the test but the height raises quite an issue when processed for delivery.
Ensuring Seamless White-Glove Service Execution
Additionally, the supplier preferred to provide white-glove service to the consignee in Vietnam. This meant that the supplier would arrange for a person in charge (PIC) to visit the destination site for a pre-delivery check, and after delivery, ensure the product was fully set up as part of their promotion to the end user in Vietnam. However, since the supplier is overseas, they lacked local personnel who could closely oversee the entire process, from customs clearance to delivery and on-site setup.
Our Comprehensive Solution for Shipment Success
When we received the inquiry about this shipment from the client, we followed our standard operating procedure (SOP):
- Research and Compliance Check: Once we receive a new inquiry from our client, our technician team checks with the available datasheet, CIPL; and also does the research online to understand the shipment. After having the base knowledge of the item, our technician team also contacted the relevant authorities to verify if any testing or licensing was required based on similar products in their system.
- Data Collection: We sourced additional technical data from external resources to ensure compliance.
- Documentation Submission: We based on the documents and information that clients provided to declare in the local customs dossiers and submit on the system.
- Site Preparation: We conducted a pre-delivery site check to ensure seamless delivery and setup. Back from the building, we found an issue that we could not leave the truck on the ground as our original plan to move the shipment. Truck needs to be lower than 1m9 to move to the basement, however, the PL showing the dimension is about 1m2 already. Which means if we keep the rack stand, we cannot find the suitable truck to get into the basement. After internal discussion, we had the discussion with building security and the local authority to let us take the machine down and let the truck leave right after.
- Delivery and Setup: This shipment was imported into SGN airport with 2 sets of machines, one delivery in HCM and one needing to transit to HAN airport and delivery in HN. Upon receiving approval, we delivered the goods to the specified location, set them up as required, and facilitated testing for the end user. Our team cooperates well with the end’s professionals team who closely follow up with our site set up.
Project Timeline
- Checking shipment datasheet to find out if shipment has any permit/license or requires any testing: 5 days
- Shipper arranged airfreight and process for export shipment: 6 days
- Shipment arrived Tan Son Nhat International Airport (SGN) - Ho Chi Minh airport, KOR-PLUS team process clearance: 2 days
- Submit the docs on customs system
- Go to the site check when customs raise question to give the on time solution and explanation to the customs officer
- Wait for customs review and feedback if need to inspection
- Move to the inspection area and assist customs to process inspect the goods
- Once get final approval from customs, we process D&T payment and pull out the goods
- Delivery within HCM: at the same date when pull out the shipment
- Delivery to HN: 3 days
- Transit to domestic warehouse
- Process customs and local AWB to HN
- Receive goods in HN and process pull out
- Delivery in HN
